1. These conditions govern the contract between Osea Events Media and Management Limited (referred to as Osea Island), the venue, and the client, to the exclusion of any other terms and conditions subject to which any order is made or purported to be made by the client.
2. Hire Deposit: A 50% deposit of island hire, as detailed on the quote, is payable in order to confirm your event reservation.
3. Confirmation: By paying the deposit, your booking is confirmed in agreement with our current T&C’s and Terms of Hire.
4. Hire Balance: The client is fully responsible to Osea Island for all costs incurred in accordance with the terms of hire. The final balance invoice will be due 60 days prior to the event date and must be paid in full. Any queries the client may have must be raised with the Accounts Office within 3 working days of receipt. Following this period it will be assumed that the bill is correct.
5. Payment: Payment must be received within 7 days of receipt of invoice.
6. Late Payment: If the balance is still outstanding 45 days before the event Osea Island reserves the right to release the date for other clients.
7. Cancellations: Any confirmed reservation will be subject to a cancellation charge (as detailed below): Within 24 weeks = 50% of the Dry Hire Fee and any Event Costs already incurred
Within 12 weeks = 50% of the Dry Hire Fee and 50% of Event Costs
Within 8 weeks = 100% of the Dry Hire and 100% of Event Costs
In the eventuality that Osea Island cannot host this event due to an Act beyond our control, Osea Island can cancel the event and issue a full refund to the client.
8. Event Insurance: We would advise clients to take out their own event insurance in order to cover any unforeseen cancellations.
9. Reservations: The names of the guests, their dietary requirements and a schedule for the event must be received 2 weeks prior to the event date.
10. Set-up time for the client’s event will be on the day of the event unless a set-up day has been agreed and paid. The client is also required to vacate and remove all equipment the same day as their event, unless a break-down day has been agreed and paid. If the island is not vacated by the agreed time, then a pro rata dry hire fee will be calculated for the additional time.
11. Osea Island reserves the right by giving notice to the client at any time before the date of arrival to increase the price of any service including venue, equipment hire and catering to reflect any increase in the cost to Osea Island which is due to any factor beyond the control of Osea Island or to any charge in specifications by the client.
12. The client agrees to pay the charges incurred by it or its guests for any food, beverage or any other services not provided for in advance quotes.
13. Liability: Neither Osea Island nor any employee or agent accepts any liability for any accident, loss or injury to any person howsoever caused (save for death or personal injury caused by the negligence of Osea Island or anyone for whom they are in law responsible). The client assumes responsibility for any and all damages caused by it or any of its guests, whether in properties, event spaces or any other part of the Island.
14. Release of Claims: After the client has vacated the island, the client shall be relieved of any and all obligations in connection with the island unless Osea, within 10 business days after the client vacates, submits in writing a detailed list of all damage for which Osea claims the client responsible and permits client’s representatives to inspect and assess such damage. It is then the choice of the client to either correct the damage or make restitution within 10 business days.
15. Osea Island accepts no liability to the client in the event of any accident loss or damage for whatever reason to any of the client’s property. Arrangements should be made to have adequate insurance cover for any accident, loss or damage to the client’s property during an event.
16. Osea Island reserves the right to terminate the agreement at any time, without prejudice to any other right it may have, in the event that the client fails to comply with the terms of this agreement.
